Equipment Staging in InTempo Enterprise: A Quick Way to Assign Units to Upcoming Rental Reservations

Equipment staging is an important step in the rental process.

When a customer makes a new reservation, you need to assign a specific unit to the rental. That unit must then be removed from your available inventory, so your sales team doesn’t accidentally promise it to another customer. However, you can’t necessarily put the rest of your rental process on hold while you wait to assign a unit to the reservation. This is where staging screens in InTempo Enterprise come into play.

How to Use Equipment Staging

Think of equipment staging as a way to hold a certain machine for a customer as you prepare to fulfill their order. New reservations will come into the queue with a visual indicator that they still need to be assigned a unit number. (If you have multiples of the requested machine in your fleet, you can see the current status of each – including those that are hard down, in the shop for maintenance, or being held for another customer. Keep in mind, if a machine has a “down” status, it will stay in red and be unable to be assigned.)

From there, your team can begin preparing that unit for the customer. If needed, you can also convert the reservation to a contract within the equipment staging screen; no need to return to the main “Create a Rental” module.

Another time-saving advantage: when you go out to the yard to take check-out photos or a condition report on your phone, the staging automatically updates. Instead of waiting for that person to get back to the rental counter - potentially even hours later - and manually make the updates, your team can move on immediately to the next step in your process.

This allows you to easily move on to the next reservation without having the exact unit number details at that moment of contract write up. It also lets you quickly visualize which reservations have unit numbers attached and which ones still require an assignment.

Remotely Staging Equipment In the Yard

If you use InTempo’s Mobile App to make a reservation, when you go out to the yard and take photos of the machine, the staging screen will update automatically. With the mobile app, you can even stage a machine without a reservation or contract – letting you keep your work going when you’re away from the counter.
